Verifications

The Office of the Registrar is the university's designated school certifying official for enrollment and degrees, student-athlete eligibility, veteran's educational benefits and provides international authentication of academic documents to be used abroad.

The National Student Clearinghouse is the University's Authorized Certifying Agent to provide degree and enrollment verifications for alumni, students and all third party requestors.

Degree and Enrollment Verification

Degree Verifications

Students in need of a degree verification can visit the Registrar's Office. If a third party is requesting a degree verification, please visit the National Student Clearinghouse.

Enrollment Verifications (for current Mines Students and Alumni)

Current students (not employed with Board of Regents)-

For current semester enrollment verifications before the census date, visit the Registrar's Office. The week after census, you will be able to access an enrollment verification through National Student Clearinghouse.  These are official and are provided to current students through Self-Service Banner, at no cost, 24 hours a day, by the National Student Clearinghouse. After logging on to Self-Service Banner, select Student Profile from the four-square menu. The Enrollment Verification link is in the menu beneath your profile photo. Verifications can be used for insurance companies, scholarships, military identification cards, prospective employment, student housing, and all other services that require proof of being enrolled at South Dakota Mines.

Current, Alumni, and Board of Regents Employees-

Enrollment verifications can also be accessed directly for current students and alumni at MyHub. There is also no cost associated with MyHub. Alumni and students who are currently employed with the South Dakota Board of Regents must use the "social" Google or LinkedIn login system at the MyHub landing page.

Please note, South Dakota Mines did not begin reporting data to National Student Clearinghouse until January of 1996. Alumni enrollment data may not be fully complete if attended before this date. If you do not have a Google or LinkedIn or you are an Alumni who attended before January of 1996, feel free to contact our office or request a transcript.

For third party requestors:

The National Student Clearinghouse is the University's Authorized Certifying Agent to provide degree and enrollment verifications, credentialing firms, prospective employers, and other third-party requestors. Verifications can be ordered 24 hours a day from the Clearinghouse website.


International Authentication

When university academic documents will be used abroad, they will need additional certification through authentication. In these instances, the Registrar's Office prepares a notarized affidavit to attest to the validity of the academic document(s), which may be a diploma (original or copy submitted by student), an official transcript, or an official verification. The notarized affidavit with the academic document attached is then returned to the student to obtain the required authentication from the South Dakota Secretary of State as described below. Detailed instructions for authentication processing with the state can be found on the South Dakota Secretary of State website.

Notarization of documents may require up to five business days to process by the Registrar's Office. Please contact the Registrar's Office if you need documents notarized for authentication purposes.

If the country where the document will be used is a party to the Hague Apostille Convention, the South Dakota Secretary of State will affix an apostille* certificate and no further authentication is necessary. If the country is not party to the Hague Apostille Convention, the South Dakota Secretary of State will affix a state authentication certificate. If necessary, authentication of the U.S. Department of State seal should be obtained at the foreign embassy concerned in Washington, D.C.

*An apostille is a certificate issued in Virginia by the Secretary of the Commonwealth for documents intended for use in foreign countries party to the Hague Convention Abolishing the Requirement for Legalization of Foreign Public Documents.

Please note that it will take 4 to 6 weeks to order a duplicate diploma.


Full-time and Part-time Status

Students are responsible for ensuring that the classes in which they enroll and the subsequent credits earned support their program of study and are applicable to their degree. Students should always consult their program advisor before registering for classes.

Different requirements for full-time status may apply for tuition, verification, loan deferral, and financial aid. For example, student financial aid eligibility may require a minimum number of hours that support the student's program of study. Contact Student Accounts, the Registrar's Office, and the Financial Aid Office, respectively, for more information.

Student Loan Deferment

Students in at least half-time status qualify for in-school loan deferment. Most enrolled students at South Dakota Mines will have paperless electronic deferments automatically processed by their loan holders, if they are enrolled at least half-time. However, it is possible that the loan holder or servicer could send you a deferment form with a section that needs to be completed by the Registrar's Office. You can email the form to registrar@sdsmt.edu or stop by the Registrar's Office with the form.

If you are still in school and receive a repayment letter, you should contact the loan holder or servicer to verify that the deferment has been processed. You can access the National Student Clearinghouse Loan Locator service through Self-Service Banner (select Students Menu and then Click here for Enrollment Verification) to find out who your lenders are and how to contact them. If the deferment has not been processed, contact the Clearinghouse to request assistance.

Active Duty Military Deferments

If you are on active military duty, including reservists, you may not be required to make student loan payments while you are deployed.

If you have an outstanding student loan and are, or soon will be, on active military duty, you should contact your lender to inform them about your active duty status and find out what options are available to you while you are on active military duty. If you have taken out loans, even if they are not yet in repayment, you must take action. Otherwise your loans will automatically move to repayment while you are away. Your personal copy of your student loan records is the best place to identify all your lenders and their contact information.
